Signature · 10 KB ceiling

Resize a signature to under 10 KB

A signature has to fit in a fraction of the space allowed for a photograph, and 10 KB is about as tight as these limits get. The good news is that a signature is mostly empty white space with a few dark strokes, which compresses extremely well — provided the original is clean.

This page reduces a signature image to that ceiling without sending it anywhere.

Many notifications also state a pixel size for the signature, often something like 140 by 60 pixels. Check yours.

Why signatures compress so well

JPEG compression spends its bytes on variation. A signature on plain white paper is almost entirely uniform white with a small amount of dark ink, so there is very little to encode.

That means a clean signature at a few hundred pixels wide will usually fall well under 10 KB before you even ask it to. If yours does not, the problem is almost always the source image rather than the format.

Common reasons a signature will not get small

If the tool has to shrink your signature hard, one of these is usually the cause:

  • A photograph of paper instead of a scan. The paper texture, shadows and slight colour cast are all detail that costs bytes.
  • A grey or yellow background rather than white. Scanners and phone cameras rarely produce pure white.
  • A very large canvas with a small signature in the middle. Cropping tight removes huge amounts of empty data.
  • Thick or decorative ink. A heavy marker stroke carries far more information than a fine pen line.
  • A colour scan. Signatures are normally required in black, and colour channels cost bytes.

Signing so the result is usable

Use a black or dark blue ballpoint or gel pen on plain white unruled paper. Sign in the centre of the sheet with plenty of margin around the stroke.

Scan it if you can. If you cannot, photograph the paper flat and evenly lit, with no shadow from your hand or phone. Then crop tightly around the signature before uploading, leaving only a small white border.

What to check before you upload

Portals reject signatures for reasons that have nothing to do with file size:

  • The signature is not in black. Many notifications specify black ink and will reject blue.
  • It is a typed name in a script font rather than a handwritten signature.
  • It is cropped so tightly that the stroke touches the edge of the image.
  • The whole thing is out of focus, usually because the camera was too close to the paper.
  • The signature does not match the one you will use on the printed form.

Questions people ask

Can I just type my name and use that as a signature?

No. Portals expect a handwritten signature, and a typed name is a common cause of rejection. Sign on paper and scan or photograph it.

The signature looks grey rather than black. Does that matter?

Usually not for the file itself, but strongly lit or shadowed scans can wash out the stroke. If your notification specifies black ink, start with black ink on white paper and scan at normal exposure.

Why is my 10 KB signature so small in pixels?

A signature is wide and short, so it hits a byte ceiling at a modest width. That is normal. The tool will not shrink it below a usable size unless it genuinely cannot fit otherwise.

Do I need to worry about the pixel dimensions too?

Yes, if your notification states them. Around 140 by 60 pixels is common. If so, use the exact-dimensions tool and set the size ceiling alongside it.

Can I use a photo of my signature taken on a phone?

Yes, and it often works well. Lay the paper flat, make sure your own shadow is not falling across it, and crop tightly before uploading.

Is my signature image uploaded anywhere?

No. A signature is used for identity, so it stays on your device. The page has no server to send it to.
